Plant Sale Agreement Checklist

Eight sections and ~40 checklist items for plant sale agreements.

⚠️We recommend confirming the terms (price, shipping, delivery method, plant guarantee, etc.) in writing or via messages so a record remains and disputes can be avoided.

1. Parties & basic info

  • Seller name, address, contact (shop or nursery name)
  • Listing account name and whether identity is verified
  • Buyer name, address, contact
  • Transaction date

2. Plant identification

  • Variety / trade name (note the botanical name if known)
  • Variegation and pattern characteristics
  • Size (plant height/width, pot size, number of plants)
  • Current condition (rooted or not, leaf count, root state)
  • Identification photo (prevents swapping)
  • Parent-plant info and line (if available)

3. Price & payment

  • Sale price (tax-incl. or excl.)
  • Payment method (platform checkout / bank transfer, etc.)
  • Payment timing (at order / before shipping / on receipt)
  • Who pays shipping and packaging, and the amount
  • Receipt issuance terms

4. Transfer & shipping terms

  • Transfer date and expected ship date
  • Delivery method (in-person / courier / temperature-controlled)
  • Packaging method (heat/cold protection, keeping roots moist, securing)
  • Who pays shipping
  • Seasonal shipping availability and postponement terms (e.g., extreme heat/cold)
  • Documents or labels included (variety name, care instructions)

5. Condition guarantee (arrival / establishment)

  • Coverage scope (dead/dying, damage, or severe condition on arrival)
  • Duration (e.g., within X days of arrival)
  • Trigger conditions (photos/video at unboxing, etc.)
  • Remedy (refund / replacement plant / partial refund)
  • Exclusions (buyer mismanagement / failed repotting / failed acclimation)
  • Claim procedure (deadlines, required records)

6. Listing & condition confirmation

  • Listing photos match the actual plant (variety, size, condition)
  • Scope of 'as-is', with prior disclosure of damage or die-back
  • Agreement on shipping method, packaging, and carrier
  • Source info if the grower differs from the seller (if available)

7. Cancellation

  • Whether cancellation is allowed after ordering / before shipping, and on what terms
  • Buyer-initiated cancellation: handling of shipping cost and price
  • Seller-initiated cancellation: refund terms
  • Handling if the plant dies or is damaged before shipping

8. Other key clauses

  • Any agreement on resale or propagation for sale
  • Handling of photos and variety information
  • Responsibility split for shipping accidents (incl. carrier claims)
  • Dispute resolution method and contact channel
  • Personal data handling

Transaction Red Flags

  • ⚠️Terms agreed only verbally, with nothing in writing or messages
  • ⚠️Plant/arrival guarantee scope or period not specified
  • ⚠️Only 'as-is / no claim / no return' wording, with no condition description
  • ⚠️Listing photos look reused or possibly someone else's images
  • ⚠️No explanation of summer/winter shipping risk or packaging method
  • ⚠️Pressured to pay while shipping method and cost split remain vague
  • ⚠️Pressured for immediate shipping with no time to review
  • ⚠️Reluctance to keep a record of the exchange (messages)

Tips When Buying

  • Confirm the terms in a form that leaves a record, such as messages
  • Ask about anything unclear before buying and keep the seller's reply
  • Clarify shipping cost, packaging cost, and ship timing before paying
  • Get verbal promises (e.g., 'replacement if it dies') in writing
  • Open the package right away and record the plant's condition with photos/video
  • If it is a different plant or batch, confirm that and any differences
  • Keep photos of the packaging and arrival condition for disputes

Frequently Asked Questions

Is it okay to buy from a seller who keeps no record of the terms?

It makes confirmation difficult if a problem arises later. We recommend exchanging the terms—price, shipping, delivery method, and whether a plant guarantee applies—in a form that leaves a record, such as the messaging feature.

How long is a typical plant guarantee?

It varies by seller, but many require claims within a few days of arrival. Because plants are sensitive to environmental change, it is wise to record the condition right after arrival and confirm the guarantee terms in advance.

What about 'no claim / no return' wording?

If there is a clear difference in condition or variety, that single line does not necessarily settle everything. Ask about anything that concerns you before buying, and if you find a discrepancy after arrival, contact the seller early with records such as photos and video.

Can I buy safely online?

Transacting within the platform, where your messages leave a record, makes it easier to confirm terms and seek help if there is a problem. Payment itself is settled directly between you and the grower, so agree on the method and timing in messages first and keep that record.

Can I cancel after ordering?

Whether returns or cancellations are allowed, and on what terms, varies by seller. Treatment also differs by whether it is before or after shipping and whether it is buyer- or seller-initiated, so always check before purchasing.
